Operations Administrator Part-time

About the Role
Assist the CEO in this diverse role which has aspects of Operations, Project Coordination, Executive Assisting, and Administration. An exciting role within a growing business with a friendly, easy going, and down to earth CEO. The CEO is a big picture thinker and needs someone to assist her with the details, and ensure everything is running smoothly. A permanent, part-time role for 20-25 hours a week (depending on the successful candidate) and ideally working 5 days a week with only one day in the office. An exciting opportunity for mothers returning to work or someone who is looking for school hours. 
Duties & Responsibilities

  • Manage the day to day operations of the business

  • Assist with the follow through of the CEO's ideas and manage the how, when, and who

  • Keep the CEO and team accountable for their work and outcomes

  • Quality control and final person to look over work before it is published

  • Weekly reporting, metrics, and project status updates

  • Deal with delays and issued to ensure work and projects are completed on time

  • Identifying tasks that don't have processes yet and overall improving efficiency

  • Assisting to improve task management system and update with new projects 

  • Check in with team and contractors to ensure everyone is accountable and supported 

Skills & Experience required

  • Demonstrated high level administration experience 

  • Previous experience overseeing projects or operations would be highly regarded 

  • Exceptional time management skills, a flexible attitude, and the ability to manage competing priorities

  • Ability to plan, breakdown a big project into smaller chunks, and assist with executing and delegating

  • Outstanding organisation skills and ability to manage multiple projects and tasks at the same time

  • Proactive and takes initiative to get things done

  • Flexible and adaptable with change and able to manage work accordingly

  • Ability to set goals, create timelines, and manage work of others and self

  • Meticulous, focused, and able to complete tasks efficiently and effectively 

  • Exceptional written and verbal communication

  • Attention to detail will be critical to your success, as will your problem-solving

  • Digitally savvy and a quick learner who grasps concepts easily 

  • Having a tech or marketing background would be highly regarded

  • Driven, energetic individual who is innovative and solutions focused

  • High level of emotional intelligence and strong relationship building skills

  • Love to learn and want to continuously grow and develop

A small business that assists their clients with launching their own businesses online. The CEO assists with podcasting, product launches, digital resources, and offers one-on-one consultations. The CEO also hosts her own podcast.
