Duties & Responsibilities
Working closely with the Marketing and Communications Manager to provide full administration support to the team
Oversee the day to day management and workflow of two junior staff, providing support and mentorship
Preparation of reports, documents, correspondence, submissions
Assist with coordinating inhouse team events and external client events
Coordinate travel and accommodation requirements for the team
Assist in the writing and preparation of company policies and procedures
Creating and formatting of contract documents
Maintain and improve administrative systems and processes
Participate in the ongoing planning, development and implementation of office and admin processes
Maintain office registers – pool car, IT, equipment
Onboarding and offboarding procedures – assisting with new starters, including completing personnel checklists and ordering IT
Liaise with office suppliers and contractors
Oversee office equipment and organise maintenance and repairs
Provide general admin support to the team – including answering incoming calls, booking and confirming appointments, email and diary management
Assist with the preparation of meetings – preparing reports, agendas, organising catering
Relief reception duties and relief shared kitchen duties (ordinarily looked after by Reception and Office Junior so back up if required)
Skills & Experience required
Demonstrated experience in a similar role within a commercial and corporate environment
A professional attitude with an energetic and proactive approach to the work you do. You are a self-starter who excels in an environment that is about high quality work and performance
Interpersonal skills that reflect your warmth and enthusiasm
You have a natural flair for organisation, you can handle multiple tasks with a sense of calm and ease
The ability to manage and mentor administration staff
Your customer service skills are flawless, and you enjoy being the first point of call for your colleagues and peers and you enjoy working closely with external stakeholders of the business
